Your Packages and Prices
Why this matters
Most gyms start with prices living in three places: the owner's head, a note on the wall, and whatever the person at the desk remembers. That gap is where money leaks. A member talks the front desk down by 5,000 TZS. Someone quotes last year's price. Two staff members sell "monthly" at two different numbers and nobody notices for a month.
The other half of the problem is dates. When a membership actually ends is the single most argued-about thing in a gym. "I paid on the 3rd." "You paid on the 5th." Work out end dates by hand in a book and you will lose that argument sometimes. Every time you lose it, you hand over days you were already paid for.
Setting up your packages fixes both at once. You type each price once. After that, selling a membership is picking a name off a list — the price fills itself in and the end date is counted forward for you.
It is also the first thing to do in Kazafit. Until you create your first package, the package box on the Subscriptions and Invoices screens is empty — so you cannot sell anything.
What you can do
- Set your own packages and prices — a name, a price in Tanzanian shillings and a length in days. "Monthly", 30 days. "Student Term", 90 days. "Annual", 365 days. Your plans, your numbers, not somebody else's tiers.
- Never argue about an end date again — Kazafit counts the days forward from the start date for you. Start a 30-day package on 3 July and it runs to 2 August, counted the same way every time.
- Stop staff typing prices on invoices — pick a package on the invoice screen and the shilling price fills the amount box for you. On an invoice that box is locked, so nobody at the desk can type over it.
- Change a price whenever you want — edit the package and the new price is what every screen offers from that moment on. No re-teaching the front desk, no reprinting a list.
- See everything you sell on one screen — the list shows each package with both prices and its length, and a running count under the heading: "3 packages on sale."
- Find one fast — a search box filters by package name, and you can show 5, 10, 20 or 50 rows at a time.
- Delete a package you no longer sell — Kazafit asks you to confirm first ("Delete this package?" / "This cannot be undone.") so nothing goes by accident.
- Keep names from clashing — two packages in your gym cannot share a name, so you will never end up with two different "Monthly" prices confusing your staff.
- Choose which packages members can buy for themselves — each package has a visible to members switch controlling whether it appears in the member portal for self-service purchase and renewal. How to get started
- Sign in as the gym owner — your staff will not see this screen.
- In the left menu, scroll to Owner Settings and click All Packages.
- Click Create New Package at the top right.
- Fill in the four boxes: Package Name, Price in USD, Price in TZS, and Duration (days). Fill in all four — the dollar box is required even though your gym prices in shillings; put the rough dollar equivalent of your shilling price.
- Click Save Package. It appears in the list straight away.
- Repeat for everything you sell. Three or four packages covers most gyms to start.
- Check it worked: open Subscriptions and look at the package box. You should see your package listed as "Monthly — 30 Days". If it is there, you are ready to sell.
To change one later, use the pencil button on its row, edit, and click Update Package.
Good to know
The dollar price box is required. The form asks for a price in US dollars as well as shillings, and Kazafit will not save the package unless the dollar figure is above zero. Everything else in the app — invoices, subscriptions, your numbers — runs in shillings. Put the rough dollar equivalent of your shilling price — if Monthly is 50,000 TZS, put 20. You will see this dollar figure in its own column on the Packages screen, so a rough guess beats a random number. Leaving it empty will stop the package saving.
Shilling price and duration must both be above zero too. A free package or a zero-day package will not save.
Owner-only. The link lives under Owner Settings in the menu, and your staff cannot open the packages screen at all — so they cannot change what your gym sells or what it costs from inside the app.
You cannot delete a package someone has already been sold. Once you have sold a package to even one member, Kazafit will not let you delete it — deleting it would damage that member's record. You will see an error and the package stays in your list. If you have stopped selling something, edit it rather than trying to remove it, or leave it in place.
Renaming a package renames it on past subscriptions. Anywhere Kazafit shows a member's membership, it shows the package name as it is today, so if you rename "Monthly" to "Standard Monthly", older subscriptions will show the new name too. Invoices are different: an invoice keeps the package name it was issued with, so receipts your members already have stay accurate.
Changing a price does not change money already taken. Invoices already issued keep their amounts. A new price applies to what you sell from that point on.
On the Subscriptions screen the price is a prefilled default, not a lock. When you sell a membership from Subscriptions, picking a package fills the Total (TZS) and Paid (TZS) boxes with the package price — but both boxes stay editable, so a staff member can still type a different figure there. If you want the price fixed at the point of sale, sell through Invoices, where the amount box is read-only.
Hidden from members means hidden, not greyed out. The visible to members switch only governs the member portal — your staff see and sell every package regardless. A hidden package cannot be bought by a member even if they know its name; they get a clear "not available to buy" refusal.
What a package is not. A package is a name, prices, a length in days and a member-visibility switch — that is all. There is no box for a joining fee, no per-visit or drop-in pricing, and no way to set a price rise for a future date. If you want a price to change on the first of next month, you change it on the first of next month.
There is no cap on how many packages you can create. Create as many as you genuinely sell — though a shorter list is faster for the front desk.
