Your Gym Profile and Branding
Why this matters
A member pays you 60,000 TZS and you hand them a slip of paper with nothing on it but a number. They have no proof of where they paid, and you have no proof either. Six months later they say they paid for three months, you say two, and neither of you has anything to point at. Fill in this one screen and every invoice carries your gym's name, logo, address, phone number and bank details. The paperwork settles that argument instead of starting it.
It also stops the retyping. Bank account numbers are easy to mistype. You copy one off a card, get a digit wrong, and only find out when a member's transfer bounces. Type it here once and it goes onto every invoice the same way every time.
This screen also gives you a web link and a QR code that belong only to your gym. Stick the QR code on your front door and new members fill in their own name, phone, email, gender, height and weight on their own phone. You still assign their package and record their payment at the desk — the link saves you the typing, not the whole job.
And one thing worth doing on day one: fill in your gym's phone number and email here. If your Kazafit plan ever lapses, your staff see a screen telling them to contact the manager. If this screen is blank, that screen shows Kazafit's support contacts instead of yours — so your receptionist calls us rather than calling you.
What you can do
- Put your gym's name and logo on your invoices. Kazafit puts your logo on every invoice, next to your gym name, address, website, phone and email. Members get paperwork that looks like it came from a business.
- Store your bank account once. Kazafit prints the account name and account number on every invoice, so members paying by transfer have the details in front of them and stop asking you to send them again.
- Keep your business details in one place. Gym name, description, tax number, founder and manager names, phone, email, website and physical address all live on one screen.
- Hand members a sign-up link of their own. The screen shows a web link that points at your gym's own sign-up and check-in page. Copy it, or open it to check it looks right, and send it to anyone joining.
- Print a QR code for the front desk. Kazafit turns the same link into a QR code you can download as an image or print straight from the screen. The printout carries your gym's name on it.
- Show your logo in the app. After you save, your logo replaces the Kazafit one at the top of the left-hand menu, so staff see your gym, not ours.
- Only you can open this screen. Staff logins do not see it in the menu and cannot reach it even if you send them the link.
How to get started
- Sign in with your owner account. Staff-level logins cannot open this screen, so if you do not see it in the menu, you are signed in as the wrong person.
- In the left-hand menu, scroll to Owner Settings and click Company Profile.
- Under About Your Gym, write a short description of your gym. This prints at the bottom of your invoices.
- Under Your Logo, click the dotted box and pick your image file, or drag the file straight onto the box. You will see a preview before you save.
- Fill in Business Details — Company Name, Tax Identification Number (TIN), Founder / CEO and General Manager.
- Fill in Contact & Address — Company Email, Phone Number (255...), Official Website and Physical Address.
- Fill in Bank Account — Account Name and Account Number, the account members pay into.
- Press Update Profile Information. A confirmation appears when it has saved.
- Look at the Member Sign-Up Link panel. Tap the small copy icon beside the link to copy it, Open Link to check it works, Download to save the QR code as an image, or Print to put it straight on paper for the reception desk.
Good to know
- Every field on this screen is required. You cannot save with any box left empty. No website yet? Put your Facebook page, or 'None'. No tax number yet? Put 'Pending' and come back to change it once you have the number.
- Use a PNG or a JPG file, under 5MB. The upload box lets you pick any picture, but only PNG and JPG actually save, and only up to 5MB. Anything else — a different file type, or a photo bigger than that — is only rejected when you press Update Profile Information, so check the file before you rely on it. A square picture looks best, because Kazafit shows it inside a circle.
- A new logo replaces the old one. There is no history and no undo — keep your own copy of the file.
- The tax number field is set up for Tanzania and is labelled Tax Identification Number (TIN). It is stored on your profile but is not printed on the invoice itself.
- Kazafit gives you a Gym ID. It is the code that ties your sign-up link to your gym. You can copy it, but you cannot change it. The Gym ID and the link look different each time you open the screen — that is normal. Every version keeps working, so a QR code you printed last month is still good.
- Your sign-up link and QR code are ready as soon as you open the screen. You do not have to save first.
- Anyone with the link or the QR code can create a member in your gym. There is no approval step — a new sign-up appears in your member list straight away. Check new sign-ups before you take money for them.
- Your sign-up link is a Kazafit address with your gym's code on the end. It is long, so use the copy icon or the QR code rather than typing it out.
- Print opens a small pop-up window. If nothing happens when you press it, your browser is blocking pop-ups — look for a blocked-pop-up icon in the address bar and allow it. Easier on a phone: press Download to save the QR code as a picture, then print it from a computer.
- Your logo appears in the app menu and on invoices. The public sign-up page members land on shows the Kazafit logo, not yours.
