Why Kazafit Instead of Excel

In one line: Your spreadsheet lives on one computer and only answers questions when you sit down and work them out. Kazafit lives on the internet, answers from your phone wherever you are, and does the counting itself.

Why this matters

If your gym runs on Excel today, you are not doing anything wrong. A spreadsheet is a good notebook. The problem is everything a notebook cannot do — and the evenings you spend making up for it.

Start with where the file lives. It sits on the laptop at the desk, or on a memory stick, or in someone's email from three weeks ago. When you are away from the gym — at the bank, at home, travelling — the answer to "how did we do today?" is a phone call to whoever is on the desk, and their answer is whatever they can see. Kazafit lives on the internet. You sign in from your phone, from anywhere, and the first screen is your gym: how many members, what came in, who owes you. No file to open, no report to build, no phone call. The person at the desk and you are looking at the same records at the same moment, and the money figures show on your login only.

Then there is who keeps the file. In most gyms it is one person — usually you. If that person is sick, travelling or gone, the spreadsheet stops being updated and nobody else quite trusts it. Kazafit gives each staff member their own login that you can hand out and take back, and the day-to-day work — signing members up, checking them in, raising invoices — carries on whether you are in the building or not.

And there is the arithmetic. In Excel, the end date of a membership is a date somebody typed. The amount owing is a formula somebody dragged. One wrong cell and Asha Mwakyusa's membership quietly runs a month long, or her 40,000 TZS balance disappears because a row got sorted wrong. In Kazafit nobody types those numbers. Choose a package and the price and end date come from your price list. Take 25,000 against a 65,000 TZS package and the 40,000 debt writes itself down and drops with each payment. And every one of those money lines goes into a history that nobody — not your staff, not even you — can edit or delete. A spreadsheet says whatever the last person left in it. None of this needs you to be good with computers. If you can use WhatsApp, you can use Kazafit — it is lists, buttons and a search box, in English or Kiswahili, and it installs on the front-desk phone or tablet straight from the browser, no app store.

What changes, side by side

  • "How is the gym doing?" — from your phone, anywhere. In Excel this question costs an evening of adding up columns. In Kazafit it is the screen you land on when you sign in: members, bills sent, money in this year, total debt, with charts by day, week and month and ten years of growth.   • One file on one laptop becomes one system with many logins. Your receptionist gets their own sign-in and does the daily work without ever seeing your takings, your debts or your prices.   • Typed dates and dragged formulas become worked-out answers. Prices come from your package list, end dates are calculated when you sell, and shortfalls are recorded on their own.   • "Who owes me?" stops being a column nobody updates. Every part-payment writes the balance down automatically, and one screen shows the whole gym's debt — how much, across how many members. The history behind it cannot be edited by anyone, which is exactly why you can show it to a member. See Chasing Unpaid Balances.
  • "Who is about to lapse?" stops being a question the spreadsheet cannot hear. Excel will not tell you a membership ends on Friday — you have to go looking.   • The person at the door stops scrolling rows. Instead of finding a name in a sheet and squinting at a date, the front-desk screen turns green with the plan and days left, or red with the reason. See Front Desk Check-In.

How to get started

There is nothing to install and nobody to wait for. You can do this the same evening you decide to try it.

  1. Open your account. Email, a code, a password, your gym's name. See Getting Started: Open Your Account.
  2. Put in your packages, then your members. This is the one sitting of typing you will do — the same names and prices that are in your spreadsheet now, entered once. From then on the spreadsheet's job is over.
  3. Run both for a week if you like. Keep the spreadsheet going alongside Kazafit until you trust what you see. Most owners stop opening the file within days, because the answers are already on their phone.

Good to know — where Excel still wins, honestly

  • Excel works without internet. Kazafit does not. If the connection at the desk drops, you can still look at what was already on screen, but nothing you type will save until it is back.   • Excel is free (or feels free). Kazafit is a subscription — paid in shillings from the mobile money line you already use. See Your Kazafit Plan and Billing. What you are buying back is the Sunday-night bookkeeping, the arguments you cannot win without a record, and the lapsed members you never noticed.
  • Excel lets you build anything. Kazafit's screens are fixed. If you love pivot tables and custom formulas, the export gives you the raw rows to play with — but inside Kazafit, the screens are the screens.
  • Kazafit still does not chase anyone for you. It hands you the lapse list and the debt list with numbers on screen — no reminder goes out by itself, and there is no automatic renewal text. Picking up the phone is still yours. A spreadsheet gives you neither the list nor the call.
  • Deleting in Kazafit is final. No undo, no bin. The confirmation names exactly what disappears — read it before you press. In Excel you can at least close without saving; here, careful beats fast.
