Your Kazafit Plan and Billing
Why this matters
You already know what your gym costs to run. You should know what Kazafit costs too, in shillings, before you commit to anything.
Everything here is priced and paid in Tanzanian shillings from the mobile money line you already use. No international card, no bank visit, no waiting for a salesperson to send an invoice and then waiting again for someone to switch your account on. You pick, you pay, you approve the request on your phone, and the screen tells you when the money has landed.
The other thing this avoids is a confusing dead end. If a payment gets missed and your plan lapses, your account does not just stop with no explanation. Your staff see a plain page showing your own phone number, telling them to call you. You are not locked out — Kazafit takes you straight to the renewal screen so you can pay and carry on.
And when your accountant asks what the software costs, the answer is on one screen.
What you can do
- See exactly what each plan costs before you pay. Basic is 65,000 TZS a month or 600,000 TZS a year. Pro is 130,000 TZS a month or 1,200,000 TZS a year. The Kazafit plan is 185,000 TZS a month or 1,800,000 TZS a year. Paying yearly saves you roughly two and a half months: 180,000 TZS on Basic, 360,000 TZS on Pro, 420,000 TZS on the Kazafit plan.
- Pay by mobile money from your own phone. Choose Mobile and type the phone number your mobile money account is registered to. Kazafit sends a payment request to that phone. You can pay with Vodacom M-Pesa, Airtel Money or Mixx.
- Or pay by card. Choose Card, fill in your billing address, and Kazafit sends you to a secure checkout page.
- Watch the payment land instead of guessing. After you press Pay Now an "Awaiting Payment" screen appears and checks every five seconds until the payment confirms or fails — you do not refresh anything. If you close the browser before it confirms, the payment still completes and shows on your next visit.
- Get switched back on straight away. As soon as your payment goes through, Kazafit pushes your expiry date forward, saves your plan, and switches a suspended gym back on. You do not have to call anyone.
- Enter a partner code if someone referred you. The Activation Code box on the plans screen is optional: "Have a partner code? Enter it to link your account. You can skip this."
- Open every payment you have made. Billing History lists each invoice with its reference code (a long unique ID), plan, amount, status and date. Tap the arrow on any row for the full receipt — the plan charge, each add-on with its quantity and price, the total, and the date it was paid.
How to get started
- Log in as the gym owner. Your Kazafit Plan sits in the owner-only Administration section of the sidebar, and staff cannot open it. The plans and renewal pages have no sidebar link but are not locked to owners, so keep paying to the owner's login.
- If your gym has no plan yet, Kazafit takes you straight to the Plans page and will not let you into the rest of the app until you choose one.
- Toggle Monthly or Annually at the top.
- Tap the plan you want under "Select a Subscription Plan". The one you pick gets a tick.
- Tick any extras under "Powerful Add-ons" if you want them on your invoice. The Total in the Payment Summary updates as you go.
- Enter a partner code in the Activation Code box, or skip it.
- Choose Mobile or Card under Payment Method. For Mobile, type the phone number your mobile money account is registered to, starting 255.
- Press Pay Now, approve the request on your phone, and leave the page open. It confirms on its own.
- Afterwards, open Your Kazafit Plan from the sidebar any time for your current plan, its price and your payment history.
Good to know
- You can only renew from seven days before your expiry date. Try earlier and Kazafit tells you the exact date you can start from. Put that date in your phone calendar.
- Nothing renews on its own, and Kazafit will not remind you. It never saves your card and never charges you automatically — every renewal is a payment you start yourself. There is no reminder email, SMS or WhatsApp before your plan expires. If the plans screen shows a line saying subscriptions renew automatically, ignore it.
- Access stops the moment your plan ends — there is no grace period. A separate check runs each hour to mark expired accounts for Kazafit's records, but that is not what locks you out. Once your account is suspended, your staff cannot open the members list, check anyone in, or raise an invoice; as the owner you can still reach the plans, billing and renewal screens to pay.
- Changing to a different plan is not something you can do yourself. While your current plan is still running, Kazafit blocks a plan change and asks you to contact support. The "Enquire Upgrade" button under "Explore Other Tiers" opens an email rather than switching anything.
- The renewal screen needs a code in the Activation Code box, even though it is optional on the first plans screen. If you never had a partner code, use the WhatsApp or email support buttons on that screen before you pay — do not guess a code, as an invalid one is rejected.
- The add-ons on the plans screen are priced extras, not new powers. Extra Users, Extra Members and Discounts are each 13,000 TZS a month or 120,000 TZS a year. Ticking one adds it to your invoice, but it does not currently raise any staff or member limit, because Kazafit does not enforce those limits today. Choose a plan first — you cannot buy an extra on its own.
- The feature list next to each plan is a fixed marketing list. It is the same for every gym and does not reflect what your account can actually do. One line mentions fingerprint check-in, which the app does not do.
- You can read your invoice history, but that is all. There is no download or print button, and no way to search or filter the list. Keep the copies Kazafit emails to the address on your Company Profile. The list covers what you pay Kazafit only — not your members' invoices.
- Fill in your gym phone and email so your staff see your number, not Kazafit's. If your plan lapses, the page they land on shows whatever is on your Company Profile as tappable links. Leave those fields blank and it shows Kazafit's support contact instead.
- A trial is something Kazafit sets up for you, not something you start. If Kazafit has put your gym on a trial, you get 14 days of full access before you choose a paid plan — but there is no "start free trial" button in the app.
