Your Numbers at a Glance
Why this matters
If your gym runs on a paper book or a spreadsheet, answering "how are we doing?" costs you an evening. You count member sign-ups by hand, you add up a column of payments, and by the time you have an answer it is a week old and you are not certain it is right.
The cost of not knowing is money. A slow March shows up here the moment you open the growth chart — 4 new members next to February's 19. And when Asha Mwakyusa stops paying, her 40,000 TZS keeps sitting in your Total Debt figure until you act on it. Kazafit does that counting for you, from your own records, and shows it the moment you sign in.
The money sits on your screen, not the front desk's. Your staff can sign members up and take payments all day without the gym's takings or its debts showing on their dashboard.
And when your accountant, your bank or your landlord asks for figures, you send a real spreadsheet instead of retyping numbers or sending a photo of a screen.
What you can do
- See your key figures the second you sign in. How many members you have, how many bills you have sent, what came in this year, and what you are still owed — laid out as tiles across the top. No report to run, no spreadsheet to open.
- Check what you are owed, and by how many people. The Total Debt tile shows the unpaid balance across your whole gym in TZS, with the number of members who owe it written underneath.
- See what the gym has taken this year. The Revenue (Year) tile adds up every membership payment for the year — and it follows whichever year you pick on the growth chart below.
- Compare four things over the same time period. The main chart, "How Your Gym Is Doing", puts new members, bills sent, members who paid and new subscriptions side by side. Three buttons change the time period: Day by day, Week by week, Month by month.
- Look back across ten years of growth. The "Growth Each Month" chart shows new members and money collected side by side, month by month, across a full year. A dropdown beside it covers this year and the nine before it.
- See what came in each day this week. The "Money Coming In" chart puts two bars against each of the last seven days: money paid on invoices ("Money taken that day") and money paid on subscriptions ("From subscriptions"). They are two separate counts side by side, not a whole and a part.
- Hand your accountant a proper spreadsheet. One button on your member list downloads an Excel file — every member and every bill, one row per bill. It carries their contact details, what was paid, the payment reference, any insurance, and when each bill was raised and whether it was settled. The button is on your owner login only.
How to get started
- Sign in with your owner login. Once your gym is set up and you have chosen a plan, signing in drops you straight onto this screen — there is nothing to open. (If you have not finished signup or picked a plan yet, Kazafit sends you to those steps first.) The heading reads "Your Gym At a Glance", with today's date under it and "Signed in as Owner" on the right.
- Read the tiles. On a brand-new gym they read zero and the charts are empty. They fill in on their own as you add members, send bills and take payments. Kazafit shows all money in Tanzanian Shillings (TZS).
- Change the time period on the main chart. Tap Day by day, Week by week or Month by month above "How Your Gym Is Doing".
- Pick a year on the growth chart. Scroll past the main chart to "Growth Each Month" and use the year dropdown in its top-right corner. The Revenue (Year) tile follows the same year.
- Download the spreadsheet when you need it. Open your member list and tap the Excel Sheet button at the top right, next to Register Member — it only appears on your owner login. The file saves as members_invoices.xlsx. You need at least one member on file first.
Good to know
- The time periods here are fixed. Day by day is the last 7 days, Week by week the last 6 weeks, Month by month the last 6 months. The newest weekly and monthly bar covers the week or month you are in right now, so it is always part-finished and will look lower than the ones before it. When you need your own start and end dates — a promotion, a quarter, one specific week — that lives on the Reports screen, not here. See Reports and Analytics.
- The money is hidden from staff on screen. Both money charts, the Total Debt tile and the Revenue (Year) tile show on your owner login only. A staff login still sees the member, invoice, package, subscription, SMS and discount tiles and the main "How Your Gym Is Doing" chart — just not the takings or the debt. As with the export button on the member list, this is a screen-level hide rather than a lock on the underlying figures — see Staff Logins and Who Sees What.
- The figures do not refresh on their own. They are re-read when you come back to the screen after a few minutes away, so they can be up to about five minutes old. Reload the page for the newest numbers. While Kazafit is fetching them, a small "Updating your numbers" note appears near the top.
- If the main tiles cannot be loaded, you get an error, not zeros. The screen says "We couldn't load this data. This is a problem on our side, not your data. Nothing has been deleted." with a Try again button — so an empty screen never gets mistaken for lost data. The Revenue (Year) and Total Debt tiles are fetched separately: if one of those fails on its own it can still show a zero, and a red message pops up to tell you.
- The money charts count by the day a record was created, not the day cash changed hands. A payment taken today against an invoice raised last week lands on last week. And on "Growth Each Month", the orange bars are labelled "Money billed" but actually show the money collected on invoices raised that month, not the face value of what you invoiced.
- The Discounts tile counts every bill that has ever carried a discount, for all time — not the promotions running today, despite its "Discounts running now" caption. The number only ever climbs.
- Active Packages counts every package on file, including ones you have stopped selling.
- The Revenue (Year) tile's small caption always reads "From subscriptions this year" even when you have picked an earlier year on the growth chart. The number itself is for the year you chose.
- The SMS Balance tile only appears if messaging is switched on for your gym.
- Nothing here covers attendance or check-ins. These are membership, billing and payment figures only.
- "Members who paid" is a bar on the chart, not a tile. It appears in "How Your Gym Is Doing", alongside new members, bills sent and new subscriptions.
- The spreadsheet is members and bills, not a yearly summary. There is no button on this screen to download the growth chart or the yearly figures as a file — period reports with PDF and CSV downloads live on the Reports screen instead. If you have no members yet, nothing downloads — Kazafit shows a short error instead of an empty file. The file has eleven columns, two of which are internal ID numbers (Member ID and MemberInsurance ID) your accountant can ignore.
- A member with no bills still gets a row in the spreadsheet. But a member with no name or no phone number on file is left out of the file entirely, so fill those fields in before you export if you want everyone included.
- Each tile has a short plain-language line under it explaining what the number means — "Members signed up" under Total Members, "Bills you have sent" under Invoices Issued, and so on. The bold heading is the shorter, more technical label.
