Everyday Essentials: Language, Delete Warnings and Getting Kazafit on Your Tablet

In one line: Let each person work in English or Kiswahili, make every delete stop and ask first, and put Kazafit on the front-desk tablet.

Why this matters

The reason software gets abandoned at a gym is rarely the big features. It is the small daily friction. Your receptionist works in Kiswahili. The system talks to her in English. So she keeps the paper book going "just in case" — and now you have two sets of numbers, and neither is right.

Then there is the click that costs you. Someone tidying the members list deletes a member. Every subscription that member ever had goes with them. On a paper book you would have noticed the missing page. In software, a stray click is silent.

And there is the screen that lies. The internet drops at 4pm, the members list loads empty, and a member is standing there saying she paid last week. Without a warning, an empty screen reads as "no members found" and your staff conclude the data is gone. They stop trusting the system and go back to the notebook.

None of this is glamorous. It is the difference between a system your staff use and one they work around.

What you can do

  • Run the whole app in English or Kiswahili, and let each person pick their own. There is a language button in the top bar (showing EN or SW) and a Language section on your Profile screen, where the buttons read English and Swahili. Your choice sticks to your login, so it follows you to any phone or computer you sign in on. One person at the desk can work in Kiswahili while you work in English on the same gym account.
  • Get a plain warning before anything is deleted. Every delete stops and asks first — no vague "Are you sure?". Removing a staff member says "They will no longer be able to sign in. This cannot be undone", and you simply confirm. Deleting a member is stricter: you have to type the member's full name before the Delete button will work at all.
  • Have Kazafit refuse the most serious deletions until you type a value back. Deleting an invoice tells you "This is a financial record. Deleting it cannot be undone. Type the invoice number to confirm." The delete button stays greyed out until what you type matches exactly. Deleting a member works the same way, except it asks for the member's full name. Removing a staff member does not ask you to type anything — you just confirm.
  • Install Kazafit on the front-desk phone or tablet. Open it in the browser and it offers Install Kazafit — "Open Kazafit straight from your phone screen" — with an Add to Home Screen button. No app store, nothing to buy, nobody to call.
  • See an orange bar when the device loses its connection. It says: "You are offline. You are seeing the last saved information. Changes will not save until you are back online." Your staff know it is the internet, not your data.
  • Know when a screen failed to load, instead of it showing you a zero you believe. A screen that could not load says "We couldn't load this data" and "This is a problem on our side, not your data. Nothing has been deleted", with a Try again button. If a whole page breaks you get "Your data is safe — nothing has been lost", plus Kazafit's support number to call or message.
  • See plainly when a feature is not on your plan. The screen names the feature and says "You need the Pro plan or higher to use this. Upgrade and we will switch it on for you." It also shows Kazafit's email and phone, plus a View All Plans link.
  • Work in shillings from day one. Tanzanian shillings are the built-in currency everywhere money appears — package prices, invoices, revenue, profit.
  • Set each member's preferred language so their reminder texts go out in the one they read. Every member record carries a preferred language. The Add Member form sets it to English by default, so switch it to Kiswahili on the record of anyone who reads Kiswahili.
  • Keep a record that each person accepted Kazafit's terms. The first time each person signs in, a window appears that they must clear before using Kazafit, with Read Terms & Conditions, Accept and Continue and Log Out. Each person accepts for themselves — your accepting does not cover your staff.

How to get started

  1. Sign in and look at the top bar. Press the EN / SW button to flip your own language. It changes immediately and is remembered next time you sign in, on any device.
  2. Can't find the button? Open Profile, find the Language section, and press English or Swahili.
  3. Tell each staff member to do the same on their own login. You cannot set it for them.
  4. On the front-desk phone or tablet, open Kazafit in the browser and accept the Install Kazafit / Add to Home Screen prompt when it appears. On an iPhone, add it yourself from Safari's Share menu with Add to Home Screen.
  5. When adding members, set each member's preferred language on their record, so their reminder texts arrive in the language they actually read.
  6. Show your staff the orange offline bar once, and the "We couldn't load this data" message too, so they recognise both. Tell them plainly: if either one is up, stop typing and wait for the connection.

Good to know

  • Kiswahili covers the day-to-day screens, but not quite everything. English still shows in a few places: the faint grey example text inside empty boxes (a sample email or website), some words on the accounting screens, and a few of the newest dashboard headings.
  • Two languages only — English and Kiswahili. There is no way to add a third yourself. (The top-bar button labels Kiswahili as SW; the button on your Profile screen reads Swahili — same language, two labels.)
  • A member's language only reaches their texts if you have written the template in that language. If a member prefers Kiswahili but you have only written the English version of a message, Kazafit sends the English one rather than nothing.
  • The sign-up and sign-in pages have their own language button too, separate from the one inside the app.
  • Deleting a member removes more than the on-screen warning lists — and keeps one thing it names. Along with the member, it also deletes their subscription history, their attendance history, any medical-insurance records, and any dependants attached to them. Their past invoices, though, are kept as financial records, even though the warning mentions them. Treat a member delete as clearing the person and their history, not their money trail.
  • The confirmations are a safety net, not a recycle bin. Once you confirm, the record is gone. There is no undo, no restore, and no bin to fish it back out of. Read the sentence before you press the button.
  • Offline means look, not work. You can only see what was already loaded in that session. Nothing you type will save, and there is no queue that sends your changes later. If staff reload the page or close and reopen Kazafit while offline, even the last view is gone — nothing is stored on the device.
  • The orange bar keys off the device losing its network. If the WiFi is still up but the internet behind it is down, the bar does not appear — instead you get the "We couldn't load this data" message. That is why staff need to recognise both screens, not just the bar.
  • The Install Kazafit prompt does not appear on every browser. It shows on Chrome for Android. On an iPhone it does not pop up at all — install it yourself from Safari's Share menu with Add to Home Screen. It also will not show if Kazafit is already installed on that device.
  • The member portal installs to a phone the same way. Members can add their portal to their home screen too, with the same Kazafit icon. Their app also shows live figures only — it never serves a saved copy of a balance or an access answer, because a stale "you can get in" is worse than none.
  • Try again re-loads that one screen. It will not help if Kazafit itself is down. We keep the technical details off your screen and send them to our support team instead.
  • You cannot upgrade from the locked screen itself. Call or email Kazafit and we switch the feature on for you.
  • The terms acceptance is recorded once per person. There is no version tracking, so a later change to the terms does not re-prompt anyone who has already accepted.
  • The terms acceptance is Kazafit's own terms, between Kazafit and your staff. It is not a way to collect your gym's waiver or house rules from your members.
  • Money taken at the desk is recorded by you; money from the member portal records itself. Paying your own Kazafit bill by mobile money is a separate thing — it does not collect membership fees from your members. If you switch on member self-service payments, members can pay you by mobile money through their portal and those payments write themselves into your records; everything taken at the desk still has to be typed in, and cash that never gets entered is still cash Kazafit cannot see.
